Vendor Waiting List Application & Info
Greetings! We're thrilled that you're interested in joining Geeked Out Events as a vendor. Below, you'll find details about our waiting list process and guidance on selecting the event(s) that would best complement your products. Should you have any further questions, don't hesitate to reach out to us via email.
Our events for 2026 are as follows:
1.) Ottawa's Toy & Collectible Sale - Spring Edition (open to toy & collectible sellers and select crafters & artisans)
March 28th and 29th at the Nepean Sportsplex. Costs range from $120-$200 for spaces 8'x10', 10'x10' & 10'15'.
2.) Horror-Fi - Two worlds, One Event. - 100% of your booth needs to fit the theme of Horror or Sci-Fi (or both). June 13th-14th at the Nepean Sportsplex. Costs are TBD.
2.) Ottawa's Toy & Collectible Sale - Fall Edition (open to toy & collectible sellers and select crafters & artisans)
October 3rd and 4th at the Nepean Sportsplex. Costs range from $120-$200 for spaces 8'x10', 10'x10' & 10'15'.
2.) Gamer Con - Ottawa's Gaming Convention (Must have 80% of your table filled with video games, board games, gaming merch, any table top type games and game inspired art).
November 28th at the Nepean Sportsplex. Costs are $60 per table.
3.) Geeking Out For The Holidays - Ottawa's GEEKiest Gift & Craft Show (Geek inspired artisans, crafters and makers. We will also be inviting certain vendors who can sell brand new merch only - think gift and stocking stuffer ideas).
November 29th at the Nepean Sportsplex. Costs will be $50 per table.
How our vendors are chosen:
We have a 2 phase selection process for our Geeked Out Spring and Fall Editions, Horror-Fi as well as Gamer Con!
Phase 1: Vendors who have participated at the last event (Example: Geeked Out Spring edition) will be given priority for spots at our next Spring Edition. They will receive a deadline by which they must register by.
Phase 2: After this deadline, invitations will be extended to those on our waitlist.
Our waitlist does not operate on a first-come, first-served basis. We strive to curate our events to meet our attendees' expectations, selecting vendors to fill specific niches based on those already registered. For instance, if we already have five vendors primarily selling Funko products, we will not accept another until one of them opts not to return. At our largest event, Ottawa's Toy & Collectible Sale, we primarily seek vendors selling toys and collectibles. Crafters and artisans are welcome, but only if a crafters spot becomes available. Similarly, at Gamercon, a comic book seller would need to offer gaming-related guides, magazines, or comics featuring gaming characters to be considered.
For Geeking Out For The Holidays:
We are introducing a new method for vendor selection for 2026. We will be inviting past vendors and those on the wait list, as well as opening it up to the public to apply all at once. We will jury the applications and choose vendors based on what they create & sell. This is so that we keep the event fresh and limit the amount of similar creators attending the same event. Keep watch to your inbox and social media for our announcements and when applications open (aiming for April 2026) with a deadline of end of May 2026. We will notify all applicants by end of June and invoice those chosen to be in the event. If all spots have not been filled, then we will open up another chance for others to apply.
Filling out an application form:
Below are two forms: one for dealers (vendors selling toys, video games, comics, trading cards, etc.) and another for Artisans (creators of geek-inspired art). Please complete them thoroughly. This is your chance to introduce yourself to us, so please provide a clear description of your company, if applicable, and the products you sell or create. Additionally, you can join the waitlist for any of our upcoming events by selecting the relevant boxes if you're interested in multiple events. If we cannot accept you this year, your wait list application will stay active with us for future events, unless you tell us otherwise.
Please be aware that participation in any of our events requires assisting in marketing efforts, such as sharing on social media, including us in your monthly newsletter to your customers, and/or on your website. We give preference to vendors who are active on social media or have a website. Although it is not a disqualifying factor, we do take into account social media and website presence when reviewing applications. Nevertheless, the distinctiveness of your products could override other considerations if we believe they would greatly appeal to our attendees at any of our Geeked Out Events. If you do not have a Website, Facebook or Instagram page for what you sell or create, please tell us why.
During the application process, applicants cannot select their preferred spot size. Spots are allocated to individuals on the waitlist according to availability at the time of contact.
It is your responsibility to update us if anything should change (example, your products, website or business name). We cannot give you an approximate time of when a spot will open up for you. If and when something does open up and we think you will be a good fit, we will reach out. to you. Emailing us to ask us for an update, unfortunately will just get a simple reply of "I'm sorry, we don't have anything available at this time".
