HORROR-FI Vendor Guide

Saturday & Sunday : 10:00am - 4:00pm
Nepean Sportsplex, 1701 Woodroffe Ave. (Entrance 4)
SET-UP
Friday 2:00pm - 9:00pm   |  Saturday 8:00am - 9:30am
All booths must be fully set up by 9:30am Saturday. Loading dock doors close at 9:30am

LOADING IN
Front Entrance
Best for smaller setups.
  • Enter through Entrance 4
  • Proceed directly to your booth
  • No check-in required
  • Do not unload in no-parking zone unless you have someone sitting with your vehicle

Loading Dock (Recommended)
For larger loads, trailers, cube vans and vendors using carts.
  • Follow signs to the rear loading area
  • Wait for a volunteer to direct you to a parking spot
  • Unload your items into your booth
  • Move your vehicle immediately after unloading 
  • Return through Entrance 4 to finish setting up
Please do not begin booth setup while your vehicle remains in the loading zone.

​Carts: There will be a limited number available onsite but please bring your own if possible.

BOOTH DETAILS
8' deep x 10' wide booths include:
  • One 6' x 30" table
  • One chair
Additional chairs are available onsite.
Extra tables: If you pre-ordered extra tables, they will be in your booth.  Any extra tables cost $10 ea and must be ordered by Wednesday @ 6pm. 
10' x 10' booths include:
  • One 6' x 30" table
  • One chair
  • Access to electricity (please bring your own extension cord & Power bar).

You may bring your own tables, shelving, grid walls, display racks, etc.
Booth requirements:
  • Everything must remain within your booth space
  • Maximum display height is 8 feet (if you are going higher than 8 feet, please get it approved by us first).
  • No double-stacking of tables
WiFi
Free guest WiFi is available throughout the venue.  If you have any issues with it, please come see us at the admission desk so we can trouble shoot any problems for you.  Please note that Rogers cellular service may be limited inside the building.

VENDOR PASSES
Vendor bracelets will be available at the Admissions Desk Saturday morning and if needed, replacements are available Sunday morning. You are responsible for collecting and distributing any bracelets you will need for your staff, helpers or team prior to the event or when they arrive.  Please collect only the number you require for those who are actually helping you at your booth!  

OVERNIGHT STORAGE
There is no overnight security, but the building is secured after vendors leave each evening and no one gains entry until Shannon has arrived in the morning.
Recommended:
  • Cover your booth
  • Remove or conceal high-value items

SUNDAY RESTOCKING
Vendor access begins at 9:00am.  |  Loading dock access closes at 9:45am.
Do NOT leave your vehicle in the loading zone.  Any vehicles left there after event opens will be towed as per Ottawa Bylaw.

FOOD & DRINK
There is an onsite canteen but it is located upstairs - Follow the yellow dots in the hallway which leads you to the canteen/pool area.  Ask anyone at the admission desk for directions.  Outside food and drinks are permitted.
Vendors are NOT permitted to sell food, beverages or snacks, unless specifically approved by event management.
LOAD-OUT
At 4pm sharp on Sunday, we will open the loading doors for those who want to bring in their empty boxes to pack up. 
Before retrieving a cart or moving your vehicle to the loading dock:
  • All customers must be off the showroom floor.
  • You have fully packed up your booth
  • Have all items ready to load  
Please do not pack up early.  Anyone caught packing up early may not be invited back to future events.  Please finish your last minute sales - any customers left in the event space after the closing of the event, will delay us in bringing in the carts. 

Exactly how you loaded in, you will load out in the same fashion.
  • Drive to the loading dock
  • Wait in the cue along the side of the building
  • A volunteer will call you forward based on the size of spot available for your vehicle size
  • Load up efficiently and safely
  • Unlike load in, you may load your vehicle while parked at the side of the building but please be careful as you are right beside an active thorough way for traffic. 
If you are loading out the front, please do not park in a no-parking zone unless you have someone sitting with your vehicle in case you have to move your vehicle. 

All vendors must be completely moved out by 8:00 PM.
