​GamerCon - Nepean Sportsplex, Ottawa Halls A & B
November 29th, 2025 * 10AM-4PM

GamerCon is a convention dedicated to everything game related!  Video games, board games, trading cards, RPG and miniatures. Local artisans who create game related ART or products are also invited to join us! You will also find action figures and toys that originated from video games like Halo, Pokemon, Mario and so on.

GamerCon will happen in Halls A&B at the Nepean Sportsplex (Entrance 3 at the back of the building).  Admission to the general public will be $5.00 (kids 12 and under will get in free).  There will be a total of 98 vendor tables.  First rights to booking a spot will go to past vendors.  Deadline to register will be September 20th.  If the deadline passes and we do not receive registration from you, your spot is automatically released and will be offered to someone on the waiting list.  Payment will be due by September 30th.   Artists: In order to be accepted into GamerCon, you must have at least 80% of your table geared towards gaming (examples: video games, board games, trading cards, RPG, game accessories, game related merchandize like apparel, plush and toys).  ​

Vendor spots are by the table space only.  Tables are 6 feet in length (x 2.5 feet in depth).  There will be approximately 4 feet behind your table to stand.  You can bring a SMALL shelf if you wish to put behind your table, but you must be mindful of fellow vendors who will need to get in and out from behind your table.  Those who rent two or more tables spaces will have the option of removing one or all tables and in their place to use shelves or a gridwall option.  It is very important to note, that you can only do so, if 1.) you're taking two or more table spaces and 2.) you leave yourself room to stand BEHIND your spot to serve customers.  Vendors are not permitted to stand in the aisle to serve customers.

Power: we are discouraging asking for power.  If you MUST have power, please note it on the registration form below and give us your reasoning why.  Having vendors use power for this kind of event means we will have power cords running behind tables where other vendors could be walking, creating tripping hazards.   

Show Date: Saturday, November 29th from 10am-4pm.  Set-up times are still being decided, but we will give a minimum of 4 hours on Friday and 2 hours in the morning on Saturday.  

Costs:  $60/table plus HST.

Placement on the floor plan:  If you scroll WAY to the bottom of this page you will see a floor plan (subject to change).  You will not be able to choose your spot on the floor plan, but we wanted to show you what it will roughly look like!  The red arrows indicate where the customers will walk. 

Two easy steps to register and guarantee your spot:
1.) Fill out this registration form, and wait for us to send you an invoice (typically this will be within 48-72 hours).
2.) Make payment for your spot.  Payment MUST be received before we will confirm your spot.

Geeking Out For The Holidays: Our 2nd Annual Holiday event is scheduled to take place the day after GamerCon on Sunday, November 30th.  This event is primarily geared towards crafters, artisans and makers with a handful of vendors who will be bringing NEW products only.  If you are planning on applying for Geeking Out For The Holidays happening the day after GamerCon and you get accepted, you will be staying in the same spot(s).

     GamerCon 2025 Registration

​Terms:
  1. I understand that submitting a registration form for GamerCon does not guarantee I will be in the event.   Approvals of each registration is based on remaining space and whether we feel you and your products will be a right fit for the theme of the event.  For artisans, we only have a limited amount of artisan spaces.
  2. I understand that I am renting a 6' table space only (we provide the tables).  Tables measure 6' x 2.5'.  Space behind for vendors to stand or sit will be approximately 4 feet.  Each spot will come with 1 chair.  Extra chairs will be available onsite.  Every vendor will get 2 vendor passes to the event.  If you need more than 1 helper, you will be required to pay an extra $5.00 admission (this is payable at the door).  This does not apply to set-up. You can have as many people helping you as you wish for set up and tear down.   ​ 
  3. Registration is non-transferable to anyone else without the prior consent from the organizers of GamerCon.
  4. I am aware that I may not share my spot with other vendors/dealers/artisans, unless we all are working under the same business name and part of the same company!
  5. I agree to not sell any fakes or reproductions without explicitly stating that it is a REPRODUCTION or aftermarket product.  This means, if you have a Pokemon game for Gameboy Advance and it's an aftermarket reproduction, you MUST state that directly on the product.  Freedom of art is allowed. ABSOLUTELY NO selling of re-sealed trading cards (Pokemon, Magic the Gathering, etc).  You ARE allowed to sell "surprise" packs of opened, mixed lot of cards, so long as you have a sign stating they are randomly mixed cards.  To avoid confusion, do NOT put mixed cards back into the original packaging - put them in a clear bag OR a tin (so long as again you put a sign up stating what the customer is buying).  Artisans:  Any creations that you are selling must be made by YOU and without the help from AI.   If you are working with other artists, you must state that on your table/products.
  6. I agree to stay within my allotted space and will not encroach on my neighbours tables or into the aisles where customers would be walking. I will only put things ontop of my table, under my table or a small shelf behind my table.  NOTHING will be placed on the floor in front of my table!  If I am on the outside wall, I am allowed to push my tables against the wall if I wish to do so.  I will NOT, under any circumstances, add any extra tables to my booth (believe it or not, we have to add this because we have had vendors in the past try this).  This means NO card tables - not even a TV tray.  This is for safety, fire regulations & insurance reasons.  
  7. I will not disrespect fellow vendors, customers, volunteers or the organizers of GamerCon by packing up early.  In doing so, I understand, I will not be invited back for future events. 
  8. Cancelling my booth registration after a payment has been made means I will get a credit towards a future GamerCon.  If I give less than 48 hours notice or are a no-show, I will forfeit any credit and risk not being invited back for future events. 
  9. I will read over the Vendor Guide that will be sent out 2 weeks prior to the event, from top to bottom, before asking any questions.  This guide will be a great tool to every question you might have about set-up and what to expect before, during and after the event.  Any questions or concerns, we encourage you to email us - we guarantee we are easy to work with but we also expect our vendors to do some work themselves which includes reading over material we send out. 
  10. Marketing:  Not only encouraged, but it is mandatory to help us spread the word.  We understand not everyone has social media (or uses it often), but you likely have friends, family, customers you can help spread the word too.  VERY IMPORTANT:  Do not create your own event page on Facebook.  Use the one we have created!  If you own / run a physical store or will be attending other events, we can get you some handouts for your customers (just ask us and we will get them to you).
